Privacy Policy — ClearTask

The short version

We don’t see your emails. ClearTask processes email content in your browser and sends it directly to the AI provider you choose. We never receive, store, or have access to your email content.

We collect very little. If you sign up for a Pro subscription, we store your email address and billing status. That’s essentially it.

You’re in control. You choose your AI provider, which emails to process, and you can delete your data at any time.

1. Who we are

ClearTask is operated by Celebrated Not Tolerated Ltd (“we”, “us”, “our”), registered in the United Kingdom. ClearTask is a Chrome browser extension that helps users clarify email content, draft acknowledgment replies, and capture tasks.

For data protection purposes, Celebrated Not Tolerated Ltd is the data controller for any personal data we collect directly (such as your email address when you subscribe). For email content processed by the extension, you are the data controller — ClearTask acts as a tool under your direction.

2. What data we collect

We’ve designed ClearTask to collect as little data as possible. Here’s a complete picture.

We do not collect: email content, email metadata (sender, recipient, subject), contacts, calendar data, browsing history, IP addresses for profiling, or any data beyond what’s listed above.

3. How we use your data

Email content

Email content is read from the page by the extension, sent to your AI provider for processing, and the response is displayed in the extension panel. ClearTask does not receive, store, log, or transmit email content to any ClearTask-operated server.

Account & billing data

If you subscribe to Pro, we use your email address to manage your subscription, send receipts, and provide support. We use Stripe for payment processing — we never see or store your card details.

Analytics

We may collect anonymised, aggregated usage data (e.g. number of clarifications per day, not the content) to improve the product. This data cannot be traced back to individual users or specific emails. If we introduce analytics, we will update this policy and use a privacy-respecting approach (no cross-site tracking, no profiling).

4. Legal basis for processing (UK GDPR)

We process personal data under the following lawful bases:

📜 Contract performance (Article 6(1)(b))

Processing your email address and billing data to provide the Pro subscription service you’ve signed up for.

⚖️ Legitimate interest (Article 6(1)(f))

Anonymised analytics to improve the product. The interest is balanced against your rights — we only collect aggregated, non-identifying data.

✅ Consent

You actively choose to use ClearTask and configure it with your AI provider. Processing of email content is initiated by you each time you click “Clarify”.

5. Who we share data with

We share data only with the minimum services needed to operate ClearTask.

Service Data shared Purpose
Anthropic or OpenAI Email content (from your browser, under your API key) AI processing to clarify emails and extract tasks.
Stripe Email, payment method Subscription billing. Stripe is PCI DSS compliant.

We do not sell, rent, or trade your personal data. We do not share data with advertisers, data brokers, or any party not listed above.

6. International data transfers

When you use the extension, email content is sent from your browser directly to your AI provider. Anthropic and OpenAI are US-based companies. This transfer is initiated by you and is necessary to provide the service you’ve requested.

Stripe processes payment data in accordance with its own data transfer mechanisms (Standard Contractual Clauses). See Stripe’s privacy policy.

ClearTask’s own servers (for subscription management) are hosted within the UK/EEA where possible. If we use infrastructure outside this region, we will ensure appropriate safeguards are in place.

7. Your rights

Under UK GDPR, you have the following rights in relation to personal data we hold about you:

📄 Access
Request a copy of the personal data we hold about you.
✏️ Rectification
Ask us to correct inaccurate data.
🗑️ Erasure
Ask us to delete your data. For local data, uninstall the extension or clear storage.
⏸️ Restriction
Ask us to limit how we process your data.
📦 Portability
Receive your data in a structured, machine-readable format.
🚫 Objection
Object to processing based on legitimate interest.

To exercise any of these rights, contact us via our support page. We’ll respond within 30 days. If you’re not satisfied with our response, you have the right to complain to the Information Commissioner’s Office (ICO).

8. Locally stored data

Most of ClearTask’s data lives on your device in Chrome’s local extension storage. This data never leaves your device (except email content sent to your AI provider when you click “Clarify”).

You can view, export, or delete this data at any time via the extension settings. Alternatively, removing the extension from Chrome will delete all locally stored data.

Because this data is stored locally and not on our servers, ClearTask cannot access, recover, or back up this data. If you clear your browser data or reinstall the extension, this data will be lost.

9. Children’s privacy

ClearTask is designed for professionals in workplace environments. We do not knowingly collect data from anyone under the age of 16. If you believe a child has used ClearTask and provided personal data, please contact us and we will delete it.

10. Cookies and tracking

The ClearTask extension does not use cookies. If you visit the ClearTask website, we may use essential cookies for basic functionality (e.g. session management for the support portal). We do not use advertising cookies, tracking pixels, or cross-site tracking of any kind.

11. Changes to this policy

We may update this policy from time to time. If we make material changes, we’ll notify Pro subscribers by email and update the “Effective” date at the top of this page. We encourage you to review this page periodically.

12. Access to Work (AtW) package

The AtW package includes AI processing managed by ClearTask. In this mode, email content is routed through a ClearTask-managed API endpoint to the AI provider, removing the need for users to manage their own API key.

Even in this mode, we do not log, store, or retain email content that passes through our endpoint. The processing is real-time and stateless. The same privacy principles apply — we handle the routing, not the content.
